1. Who we are

Free PDF FAX is operated in India by Zoa Zone Services Pvt Ltd, 376, G3, Road No 82, Film Nagar, Jubilee Hills, Hyderabad, Telangana 500096, India, with global operations through Zoa Zone Services LLC, 1770 Grand Concourse 12A, Bronx, NY 10457, USA. This policy explains what personal data we collect, why we collect it, and the rights you have over it.

2. Data we collect

• Account data: your name, email address and password (stored only as a secure hash) when you create an account.
• Documents you upload: files submitted for conversion, OCR, data extraction, e-signature or cloud fax transmission.
• Fax metadata: destination and sending numbers, page counts, delivery status and carrier cost for each transmission.
• Payment metadata: billing amounts, currency, invoice identifiers and payment status.
• Technical data: hashed IP addresses (for abuse prevention, we do not store raw IPs), conversion logs and browser/usage information.

3. Why we use it (purpose)

We use your data to provide the tools and fax service you request, verify your email, process payments and entitlements, send delivery receipts and service notifications, prevent abuse and fraud, and comply with legal obligations. We do not sell your personal data.

4. Document and fax handling & retention

All uploaded files are encrypted in transit and at rest. Converted documents and fax payloads are automatically deleted from our servers within 1 hour of processing. We keep only the fax transmission metadata (status, page counts, costs) for billing reconciliation and audit, and hashed conversion logs for security. We do not use your documents to train third-party models.

5. Payments

For customers in India, payments in INR are handled by Cashfree Payments, our payment gateway. For customers outside India, payments are handled by Stripe. We never store your card or UPI credentials — card details, UPI IDs and mandates are collected and held only by the payment gateway, which is PCI-DSS compliant. We receive only payment confirmation, amount and status metadata.

6. Advertising & cookies

We use third-party advertising partners, including Google AdSense, to serve ads on the free tier. These vendors may use cookies to serve ads based on your prior visits to this website or other websites across the internet. You can opt out of personalised advertising via Google's Ads Settings, and ads are removed entirely on paid plans.

7. Your rights

You may request access to, correction of, or erasure of your personal data, withdraw consent, or object to processing at any time by emailing care@zoazoneservices.com. Deleting your account removes your personal data; documents you have already uploaded have by then been purged automatically. We respond to every request within 48 hours.

8. Compliance with India's DPDP Act 2023

Where the Digital Personal Data Protection Act, 2023 applies, we process personal data on the basis of your consent or for legitimate purposes, honour your rights to access, correction, erasure and grievance redressal, and retain data only as long as necessary.
